Position Summary

Provide administrative support to a department and/or Manager. Duties include general clerical, receptionist and project-based work. Project a professional company image through in-person and phone interaction.

Responsibilities

 

Answer telephones and transfer to appropriate staff member, handle basic questions 

Monitor the door and allow access/entrance for verified visitors 

Be aware of guests who are expected and the events that are occurring each day 

Meet and greet clients and visitors, administer iPad visitor login database 

Create and modify documents using Microsoft Office (Word, Excel, and Outlook). 

Perform general clerical duties to include but not limited to photocopying, faxing, mailing, and filing 

Maintain hard copy and electronic filing system  

Sign for and distribute UPS/Fed Ex/Airborne packages

Monitor inventory and order office supplies for the building  

Assist in preparing conference/meeting rooms for meetings; help clean up afterward  

Setup and coordinate meetings and conferences  

Assist with departments with large projects, i.e. board meeting preparation, development events, etc. 

Support staff in assigned project-based work 

Manage the kitchen and breakroom by stocking supplies, organization, cleaning, etc.  

Liaison for troubleshooting any printer, copying problems with external vendors  

Be staff resource for use for internal mail routing, shipping, overnight packages, and special service postal mailings 

Other duties and projects as assigned

Requirements

Excellent written, verbal and interpersonal communication skills 

Exceptional customer service skills 

Strong attention to detail and high level of organization  

Strong sense of urgency while maintaining high level of professionalism 

Communicate effectively with all members of organization and members of public 

Ability to prioritize multiple responsibilities and manage deadlines accordingly 

Ability to be proactive and self-motivate 

Ability to adapt quickly to changing policies and procedures 

Proficient with Microsoft Office and telephone protocol

 

Required Education and Experience 

High School Diploma or G.E.D. 

0-1 years of clerical experience.

 

Preferred Education and Experience 

Associates degree 

1-3 years of clerical experience
